Who we are: Honor and Remember, Inc. (“Honor and Remember,” “we,” “us,” “our”) operates The Declaration of Remembrance platform at thedeclarationofremembrance.com (the “Site”). We are a national 501(c)(3) nonprofit. This Privacy Policy explains what we collect, how we use it, with whom we share it, and what choices you have. It is designed to work together with our Terms and Conditions.

Scope

This Policy applies to the Site, our forms, donations pages, email/SMS programs, event registrations using the Site, and any of our services that link to it (together, the “Services”). To access and use the Services, you must consent and agree to the practices described here.

What We Collect

We collect information you provide, including:

·       Identity and contact: name, email, phone, mailing address, state/ZIP, organization (if any), and preferred contact method.

·       Declaration details: signature/pledge status, message you choose to include (e.g., “why I remember”).

·       Donations: amount, frequency, campaign attribution, last 4 digits/brand of card, and success/failure status. (We do not store full card numbers; our PCI‑compliant processor handles payment credentials.)

·       Events and programs: RSVP details, attendance, volunteer interests, and service branch affiliation if you choose to share

·       Support and communications: inquiries, feedback, and correspondence with us.

We also collect certain information automatically:

·       Device and usage: IP address, device identifiers, browser type, pages viewed, referring URLs, date/time, and general location inferred from IP.

·       Cookies/identifiers: see the “Cookies, Tracking and Ads” section below.

·       Service providers: payment processors, email/SMS platforms, analytics, security tools.

·       Sponsors and partners: campaign performance data when you interact with co‑branded initiatives.

·       Public sources and social: publicly available posts, testimonials, or content you tag with our handles.

We do not intentionally collect sensitive personal information (e.g., SSN, precise geolocation, health data). Please do not submit it.

How We Use Information

We use information to:

·      Operate the campaign: collect signatures, show participation counts, fulfill awareness and remembrance objectives, and further our corporate mission.

·      Communicate with you: send confirmation emails, updates, newsletters, event information, and donation receipts.

·      Fundraise and process donations: including recurring donations and acknowledgments.

·      Measure and improve: analytics, performance, security, troubleshooting, and fraud prevention.

·      Personalize: adjust content, frequency, and topics to your interests where permitted.

·      Comply with law: record‑keeping, legal requests, and required disclosures.

Donations and Recurring Charges

·       Donations go directly to Honor and Remember and may support our mission and/or the Declaration’s awareness campaign, per the Terms.

·       If you choose a monthly gift, you authorize monthly charges to your payment method until you cancel (see Terms and your checkout authorization language).

·       We keep donation records as required for finance, audit, and compliance.

·       Card data is processed by a PCI‑compliant provider; we do not store full card numbers.

How We Share Information

·       Service providers/Processors: payment, hosting, email/SMS, analytics, security, form capture, event platforms, and customer support, under contracts limiting their use to our instructions.

·       Legal and safety: to comply with law, enforce our Terms, protect our rights, users, or the public.

·       Business changes: in any reorganization of nonprofit operations (e.g., merger of programs), information may transfer consistent with this Policy.

We do not sell your information or share it with third parties not listed above.

Cookies, Tracking and Ads

We use:

·       Strictly necessary cookies for security and core functions.

Your choices:

·       Manage cookies via your browser and (where provided) our Cookie Preferences tool.

·       “Do Not Track” (DNT) is not standardized; we do not respond to DNT signals.

Data Retention

We keep data only as long as needed for campaign, operational, legal, and audit purposes:

·       Donors and recurring gifts: donation records typically retained 7 years (or longer if required).

·       Signers/supporters: profile and engagement data retained while you are active plus a period for archival, audit, and suppression, as required by applicable law and policies.

·       Event and communications logs: typically 2–4 years unless we required longer for compliance.

Your Choices and Rights

Email: click unsubscribe in any email.

SMS/MMS: text STOP to opt‑out; HELP for help. Message/data rates may apply.

Cookies/ads: adjust browser settings and use our Cookie Preferences.

Depending on your state, you may have rights to know/access, correct, delete, opt‑out of sale/share/targeted advertising, limit use of sensitive data, and non-discrimination for exercising rights.

Children’s Privacy

The Services are intended for individuals 18+. We do not knowingly collect personal information from children under 18. If you believe a child under 13 has provided information, contact us to delete it.

Security

We implement administrative, technical, and physical safeguards appropriate to our nonprofit operations and as required by applicable law.

Third‑Party Links

Any links to sponsors, processors, event tools, or social platforms are subject to their privacy practices. Review their policies before engaging.

Changes to this Policy

We may update this Policy periodically. The Effective Date above reflects the latest version. Material changes will be posted on the Site. Continued use after changes means you accept the updated Policy.
